Terms and Conditions

International Retreats & Training

1.0 Booking Policy

1.1 All bookings are subject to availability. Bookings for events and retreats/training can only be confirmed when full payment is received.

1.2 Participants must be at least 18 years or older to attend our events and retreats/training unless otherwise specified in the event information.

1.3 By paying your deposit or full amount for your retreat, training or event, you agree and accept our Booking Terms and Conditions.

1.4 Participants must obtain comprehensive travel insurance or have medical insurance to attend our retreats/training including, but not limited to, cover for (overseas) medical expenses, evacuation charges, trip cancellations and force majeure events.

1.5 A completed booking form and non-refundable $300 AUD deposit must be made for each participant to reserve your place.

1.6 Airfares, transfers, visas, tips, travel insurance, medical expenses, alcohol, premium meal & drink items, massage, beauty treatments, and personal items are not included.

Please refer to retreat/training inclusions and schedule for details.

2.0 Payment Policy

2.1 All prices are per person in AUD (Australian Dollars).

2.2 All bookings include a non-refundable deposit of $300 AUD subject to our Cancellation & Refund Policy. 

2.3 Payment can be made by bank transfer (EFT), PayPal or credit card for Australian residents. For non-residents of Australia, payment can be made by PayPal. All foreign exchange, credit card and PayPal transaction fees are the responsibility of the participant.

2.4 Payment in full must be received at least 90 days prior to the start of the retreat/training. Failure to pay the full amount within this time frame results in the deposit being forfeited. We reserve the right to resell your place in the retreat if full payment has not been received 90 days prior to the retreat commencing.

2.5 For bookings made within 90 days of the start of the retreat: full payment is required at the time of booking to secure your place. Failure to pay the full amount within this time frame results in the deposit being forfeited. We reserve the right to resell your place in the retreat if full payment has not been received 90 days prior to the retreat commencing.

2.6 Bank fees, credit card charges, Stripe or PayPal fees incurred by transferring money are the sole responsibility of the participant.

2.7 Any services not included in the retreat are the sole responsibility of the retreat participant and have to be paid for by the participant, in the local currency of the retreat/training destination.

2.8 Although most fees are stated in Australian dollars, some products and arrangements are purchased in foreign currency and may be subject to applicable exchange rates. Where payment is made to the retreat venue or hotel upon check-out, either for the room cost, wellness program, additional excursions or incidentals, payment is made in local currency of the hotel/retreat venue. Depending on your selected payment method, bank, card issuer and/or the financial institution processing your transaction, you may be subject to additional fees and charges including but not limited to: exchange or currency conversion fees and/or transaction fees. Such fees and charges vary by country and/or currency and are subject to change at the discretion of your bank, card issuer and/or financial institution (as applicable). You acknowledge and agree that we, The Whole Wheel Yoga, are not responsible for such and charges and value of your purchase in Australian currency which may fluctuate subject to exchange rates.

2.9 If you make payment by way of credit card, you warrant that the information you provide to us is true and complete, that you are authorized to use the credit card to make payment and that your payment will be honoured by your card issuer. We may conduct various checks to validate your identity and integrity of your payment details, which may include requesting additional information from you to verify your identity.

3.0 Payment Schedule

3.1 Payment for the retreat/training is subject to the following schedule:

  • $300 non-refundable deposit to be paid at time of booking

  • Payment in full to be made 90 days prior to the start of the retreat

3.2 Instalment plans are offered at the discretion of The Whole Wheel Yoga. If you require a payment plan, contact us.

4.0 Cancellation & Refund Policy

4.1 All cancellations must be received in writing via email.

4.2 It is the participant’s responsibility to contact The Whole Wheel Yoga and verify that their cancellation request was received to avoid any potential additional cancellation fees that may be incurred due to delayed cancellation. The Whole Wheel Yoga will take no responsibility for any costs associated with messages not being received, or a delay to inform us of their cancellation.

4.3 The participant is responsible to ensure flights, travel insurance and any components booked outside of this retreat are cancelled and will adhere to the cancellation policy of each individual supplier.

4.4 The Whole Wheel Yoga cannot be held liable for any cancellations made by third party venues. If a venue cancels our booking, we will refund only the cost related to the ticket you hold with us. We will not refund any travel-related cost such as airline tickets, travel documentation or cost incurred by other transport providers. We will not refund any other accommodation related costs for the dates directly prior or after our booked retreat.

4.5 Refunds can take up to 60 days to process.

4.6 In the event of suspicious fraudulent activities on payments and/or refund request, The Whole Wheel Yoga, retain the right to hold any funds received and will not issue any refunds until obtained formal clarification in writing from relevant financial institute. Any concerns of fraudulent activity will also be reported.

5.0 Cancellation Fees

5.1 The following cancellation fees apply for booking cancellations and transfer requests:

5.2 A full Refund less $300 deposit will be issued if a cancellation request is received in writing more than 120 days before the start of the retreat/training.

5.3 50% Refund less $300 deposit will be issued if a cancellation request is received in writing 90 days before the retreat/training.

5.4 0% (nil) Refund provided for any cancellation within 90 days before or after retreat event date.

5.5 If you wish to transfer the booking to another participant, this has to be requested in writing via email and is subject to approval.

5.6 Due to our commitment to accommodation providers, instructors, tour operators, transport companies etc, we cannot make any exceptions to the above-mentioned cancellation fees for retreats or local events, even if you are unwell. We do not offer credit or a refund for a retreat participant arriving late or leaving early. This includes unforeseen issues such as a family-related illness, or COVID diagnosis. We do not offer any credit for arriving late or departing early, missing activities or not using any part of the scheduled program.

5.7 In the event of a cancellation or refund, we are not responsible for any currency fluctuations and will refund the original amount from the original invoice.

6.0 Changes to advertised program

6.1 The Whole Wheel Yoga reserves the right to make any changes deemed necessary by our team, trip leaders, teachers or partners. In the event that we need to make a last minute change to the venue, the teacher, the itinerary, or any aspect of the retreat due to unforeseen circumstances (natural disaster, pandemic, illness, civil unrest, death, closure or any other unforeseen circumstance) we will offer the following to our guests that do not want to attend based on changes:

6.2 Transfer your deposit or payment in full to a future retreat or event to be taken within a year from the date of the current retreat. All other payments will be forfeited and The Whole Wheel Yoga will not be liable for refunding or reimbursing any amount beyond the transfer of the deposit or payment in full.

6.3 In the event you prefer to cancel the retreat as a result of advised changes to the program, normal cancellation policies apply (view refund policy). The Whole Wheel Yoga is not responsible for reimbursing you or refunding you for any amount paid if you decide to cancel based on these changes.

7.0 Event Cancellation

7.1 In the rare/extreme case of a cancellation or postponements on the part of The Whole Wheel Yoga we will offer a transfer to another event in the form of a credit to the value paid in deposit or payment in full. The Whole Wheel Yoga is not responsible for any expenses or damages incurred as a result of trip cancellation or postponement including preparation costs, airline tickets, travel documents or any other expenses.

7.2 The Whole Wheel Yoga reserves the right to cancel any retreat or event prior to departure in the event that there are too few people booked in which case you will be given a full refund of any and all payments made to The Whole Wheel Yoga. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation.

7.3 The Whole Wheel Yoga will not be liable for cancellation, failure of, or delay in performing our obligations under this agreement due to force majeure events (Earthquake, hurricane, tornado, flooding, volcanic activity or other natural disasters, or in the case of war, action of foreign enemies, terrorist activities, labor dispute or strike, government sanction, blockage, embargo or epidemic) or if certain conditions present unacceptable danger to the participant.

Please note travel insurance is mandatory for overseas retreats.

8.0 Liability

8.1 By submitting a booking request, and confirming your booking, you automatically agree to our Liability Waiver:

8.2  The Whole Wheel Yoga, its partners, staff and contractors shall not be liable for any unusual and unforeseeable circumstances beyond our normal control, which the consequences of could not have been avoided even when exercising all due care. Such circumstances or events include, but are not limited to, pandemic outbreak, war or threat of war, riot, civil unrest, industrial disputes or strikes, accidents or failure to perform by third parties, including suppliers and subcontractors, unavoidable technical problems with the accommodation, transport or closure or congestion of airports, terrorist activity, natural disasters, industrial disasters, fire, theft, flooding and adverse weather conditions. In the event of any the above, refunds and compensation payments cannot be made.

8.3 The Whole Wheel Yoga is not responsible for any claims, losses, damages, costs or expenses arising out of injury, accident or death, damage, loss or delay of baggage or other property; or delay, inconvenience, loss of enjoyment, or frustration, whether physical or mental resulting from: (1) the act or omission of any party including Retreat Here or its employees; (2) mechanical breakdown, government actions, weather or other factors beyond our control; (3) your failure to read information provided and follow instructions including, but not limited to, obtaining sufficient travel protection & health insurance and providing correct & complete personal, health and travel information; (4) your cancellation or change for any reason in travel services offered; and (5) your medical or health problems or physical disabilities.

8.4 The Whole Wheel Yoga accepts no liability for loss, damage, injury or illnesses which may be received during the guest’s stay or travelling to and from the retreat location. All guests must take responsibility for their own medical and physical fitness and ability to use our facilities and participate in activities.

8.5 The Whole Wheel Yoga is not liable for any injuries or losses to guests, in the use of retreat facilities or participation in activities.

8.6 While all care is taken, The Whole Wheel Yoga cannot accept any responsibility for loss or damage of personal possessions or valuables of guests.

8.7 All guests must take responsibility for their own medical and physical fitness and able to use retreat facilities and participate in activities.

8.8 If at any time during any of the classes or activities, you feel discomfort or strain, gently come out of the posture. You may rest at any time during the class. It is important in yoga that you listen to your body, and respect its limits on any given day. Yoga is not a substitute for medical attention, examination, diagnosis, or treatment. Consult a physician prior to beginning any activity program, including yoga. It is your responsibility to notify the teacher/hosts of any serious illness or injury before every class or activity. In acceptance of the terms and conditions The Whole Wheel Yoga, its partners, hosting facility, staff and contractors are not liable for any injury, or damages, to person or property, resulting from the undertaking of the class or activity.

8.9 Participants must notify The Whole Wheel Yoga of any dietary restrictions and allergies at the time of booking. Please note: as we work with several retreat venues, hotels and resorts, we might not be able to cater to all food restrictions. Please check with us prior to making full payment and we will check with the venue for you.


9.0 Travel Documentation & Immunizations

9.1 It is your responsibility when travelling or transiting a country to ensure that you have valid passports, visas, visa waivers, re-entry permits which meet the requirements of the local immigration and/or government authorities.

9.2 Laws regarding validity of passports vary from country to country, with many governments still requiring passports to have a minimum validity of 6 months beyond the period of intended stay. Passports must also have a minimum of four blank pages to be valid for travel. Indonesia requires passports to be in good, clean physical condition.

9.3 It is the responsibility of the retreat participant to ensure they have researched and understood all visa and passport requirements to the retreat destination.

9.4 The Whole Wheel Yoga requires each trip member to purchase individual travel insurance for their trip for both international and domestic training/retreats. We recommend that you include “cancel for any reason” in your policy. You must purchase travel insurance that includes medical coverage, to protect the costs of your trip in the case of injury, illness or inability to attend. We recommend the purchase of travel insurance as soon as possible after making your first trip payment (flight or deposit, reservation).

9.5 It is the responsibility of the participant to receive correct, recommend or required immunisations for the retreat destination. Please contact your local travel authority for the latest requirements.

10.0 Data use & Protection

10.1 The guest agrees that he/she may be photographed and/or filmed during their stay and/or activities in connection with the company, and also agrees that the company may use such recordings for promotion and/or advertising purposes without any prior consent.

11. Acknowledgment of Risks

11.1 Assumption of Responsibility

Although The Whole Wheel Yoga has taken reasonable steps ensure safety, I, the participant, acknowledge that this activity has risks, including certain risks which cannot be eliminated without destroying the unique character of this activity. The same elements that contribute to the unique character of this activity can cause loss or damage to the participant including accidental injury, illness or in extreme cases, permanent trauma, disability or death and also can cause damage to or loss of property. The following describes some, but not all, of those risks.

Activities vary from trip to trip and may include but are not limited to: hiking, backpacking, climbing in a wide variety of environments including on rock, snow and ice, bicycling on trails and roads with a wide range of surface conditions and traffic volume, rock climbing, climbing on climbing apparatus and ropes courses, using zip-wires, rope swings, white-water rafting, river kayaking, sea-kayaking, boat excursion, canoeing, swimming, snorkeling, surfing and fishing.

The Whole Wheel Yoga trips can involve travel to remote places, often times many hours from medical facilities. Transportation, evacuations and medical care can be significantly delayed, communication can be delayed, limited or not available.

Environmental risks and hazards include rapidly moving, deep or cold water, insects, snakes, predators, including large animals, falling and rolling rock, lightning, flash floods and unpredictable forces of nature, including weather which may change to extreme conditions without warning. Possible injuries and illnesses include hypothermia, frostbite, high altitude illnesses, sunburn, heatstroke, mosquito bites, dehydration and other mild or serious conditions.

Throughout the trip, participants are responsible for their own safety.

I (the trip participant) acknowledge and understand that The Whole Wheel Yoga trips include risks of injury or death to participants. I understand the description above of these risks is not complete and that other unknown or unanticipated risks may result in property loss, injury or death. I agree to assume responsibility for the inherent risks identified herein and those inherent risks not specifically identified. I acknowledge that participation in this activity is purely voluntary, no one is forcing participation and participation is elected with full knowledge of the inherent risks.

I, the trip participant, assume and accept full responsibility for any injury, death, loss of personal property, and expenses suffered as a result of those inherent risks and dangers identified above, and those inherent risks and dangers not specifically identified and as a result of my negligence in participating in this activity.

12 Release and Waiver of Liability

12.1 Declaration of Health

By accepting this agreement; I, the trip participant, represent that I have no physical conditions or medical precautions which would adversely affect my ability to take part in the yoga program or other physical or cultural activities offered on The Whole Wheel Yoga training/retreat. I fully understand that my participation in the yoga program or other activities could be injurious to my health and I voluntarily assume all risks related to such activities. The Whole Wheel Yoga is not responsible for any missed classes, excursion, visit, whether it be health related due to sickness or accidents.

12.2 Personal Release

By agreeing to the terms outlined here and elsewhere on the The Whole Wheel Yoga website I, the trip participant, hereby release and discharge my rights and claims for damages or liabilities that may occur as a result of participation on a The Whole Wheel Yoga retreat/training, including but not limited to damages as a result of unexpected occurrences including those from weather, local political situations, wildlife or uncontrollable acts of God, including the risk of death. I, the trip participant, release The Whole Wheel Yoga including its owners, directors, employees, guides, yoga teachers and partners from liability for personal injury, illness, emotional damage, incurred travel expenses or property damage I may incur as a result of participation on this trip.

For the benefit of everyone on your trip, The Whole Wheel Yoga reserves the right to accept or reject any participant at any time without liability, and in the event it determines, in its sole and exclusive discretion, that a participant is disruptive to the harmony of the trip, it may without any obligation to pay a refund or any other amount whatsoever, expel such participant from the trip. The Whole Wheel Yoga will carry no responsibility or liability for any participant who leaves the trip prior to its conclusion or for any activity undertaken by any participant which is not included on the trip itinerary.

12.3 Marketing, Video & Photo Release

I, the trip participant, give permission for The Whole Wheel Yoga to use photos and/or video footage of myself taken during my training and or retreat  for the purpose of promoting and marketing The Whole Wheel Yoga and its work. I also give permission for The Whole Wheel Yoga to use photos and/or video footage that I take during this trip for the same purpose. I, the trip participant, understand that my image and these photos and/or video footage will be used in a variety of marketing materials for The Whole Wheel Yoga to showcase their work to  current and future training/retreat participants as well as the general public. I, the trip participant, give permission for these photographs/footage and my image to be used in full or any edited form for promotional and marketing purposes by The Whole Wheel Yoga in print, electronic and digital publications, on The Whole Wheel Yoga website, The Whole Wheel Yoga social media platforms, by third party media selected by The Whole Wheel Yoga to promote its work. I, the trip participant, waive any rights and claims, present and future, to any fees or royalties or other benefits whatsoever for or in connection with the use of the images. If I, the trip participant, wish to withdraw permission for images to be used, I will do so in writing and understand that if I do so, The Whole Wheel Yoga will cease any future new publication of use of the images, but for several years the images may appear in printed and electronic materials that have already been produced or disseminated. I understand and agree that, despite those efforts, the images may still be published or disseminated.

13. Yoga Teacher Training – Code of Conduct

  • The Whole Wheel Yoga Teacher Training program is rooted in the ancient wisdom of yoga. We make the greatest effort to uphold a code of conduct dictated by the heart and request our students to do the same.

  • Sage Patanjali, the originator of the Yoga Sutras, described certain modes of behavior supportive of the spiritual practice. Your time with us should be guided by the following values: Respect (to teacher and students), Non-violence (physical, mental and emotional), Honesty, Self-Responsibility, Compassion and dedication to the practice.

  • In order to successfully complete our training course and receive a certificate you must participate in all classes. In the event of serious injury or illness and with medical advice, absence may be assessed accordingly. This is a decision made by the lead teacher.

  • Please be prepared to immerse yourself in the studies and embark on the ultimate adventure of a lifetime!
